A new California law requires employers to keep better training records. We made it easy.
There's a New Law in California
California passed a law, SB513, that went into effect on January 1, 2026. It changes how employers have to handle training records.
Here's what it means in plain English: if you train your employees, you now have to keep detailed records of that training — and your employees have the right to see those records whenever they ask.
What Information Do You Have to Keep?
For every training an employee completes, you need to have five things on file:
- The employee's name
- Who provided the training
- When the training happened and how long it lasted
- What skills or knowledge did the training cover
- Any certificate or qualification the employee earned
What Happens If You Don't Comply?
The penalties can add up fast. You could be fined $750 per violation, taken to court, and required to pay the employee's legal fees. You also have to hand over records within 30 days of a request — and keep those records for at least three years after an employee leaves your company.
Why This Is Hard to Do on Your Own
Tracking all of this by hand — especially across a large team — is a lot of work. And if a former employee asks for their records, you need to be able to locate them quickly and ensure they have all the correct information. Missing even one field could put you at risk.
